Accountant and privacy

Your accountant, your data and your privacy

Your books are private. You decide who sees them.

🤝 Invite your accountant

Open Settings → Members. Enter your accountant’s email, choose a role and press Send invite.

There are three roles:

  • Owner: you. Only the owner can change business settings.
  • Accountant: sees the business’s data.
  • Viewer: for someone who only needs to look.

Your accountant receives a link. They must sign in with the same email the invitation was sent to, otherwise SoloBook refuses it. An invitation expires after a while, and you can send a new one. To end someone’s access, press Revoke.

🙈 Personal stays personal

Personal transactions belong to you. An accountant or a viewer does not see them, unless you tick Can see personal transactions when you invite them. SoloBook enforces this on the server, so it does not depend on anyone being careful.

🔐 Sign-in and access

You sign in with Google. SoloBook does not store a password for you. Every time someone looks at financial data, the access is logged. SoloBook never stores payment card details.

If someone else ever uses SoloBook for your business, they can only do it through an invitation you sent.

📜 The privacy policy

The first time you sign in, you see Before you start. If the policy changes, SoloBook asks you again before you continue. You can read the policy at any time at solobook.ca/privacy.

📦 Your data is yours

In Settings → Account you have two buttons.

  • Download my data gives you everything SoloBook holds for your account (businesses, customers, invoices, transactions and imports) as one file.
  • Close my account signs you out at once, and you cannot sign back in. You type your email to confirm. Your account and every business you own are deleted 30 days later.

Export your data first. CRA may require you to keep your records for a number of years, so check what applies to you on the CRA website .
